What does it take to automate front-office operations, and how can a clinic determine whether a vendor is the right fit?

This moderated panel features clinic leaders and physicians who have implemented automation in their practices. Panelists will discuss what their front-office operations looked like before automation, including fax management, phone queue and intake backlog. They will share how they evaluated vendors, what approaches did not work and what changed following implementation.

Canadian medicine was designed around scarcity. Not enough time, not enough clinicians, not enough resources. Almost every workflow in place today was built to compensate for that constraint, and most of them spend the resource already in shortest supply. That isn’t care. It’s compensation for system constraints.

Dr. Sameer Shaikh starts with what has already changed. Across five three-month Ontario pilots and 111,770 documented visits, Heidi supported an average 13 minutes of documentation per visit and 25,098+ clinical hours across care teams. Michael Garron’s Stavro ED is seeing 10 to 13% more patients per physician per shift. Cambridge North Dumfries OHT sees 11 minutes of documentation supported per session, with 90% reporting reduced stress and burnout. The Ottawa Institute of CBT cut documentation from 213 minutes a week to 71. Real sites, measured results, Canadian conditions.

Next: augmented and agentic care. Good clinical care is not only a documentation problem, it depends on informed decisions. AI is moving quickly from tools that answer questions and draft content to systems that can reason, plan and take action. What does that actually mean inside a primary care clinic?

This session cuts through the AI noise and looks at where agentic AI is already beginning to change the work of clinicians, administrative teams, and clinic leaders. We’ll explore seven areas of the primary care workflow, including documentation, inbox management, billing, patient intake, reception, clinical decision support and engagement, and assess the maturity of these technologies today.

We’ll also look beyond the individual tools. What happens as AI moves from drafting something for you to actually doing something on your behalf? Where should human judgement remain firmly in the loop? And how can clinics introduce more autonomous technology without creating more complexity, disruption or risk?

The goal is not to adopt AI everywhere. It is to understand where it can meaningfully reduce administrative burden, where the technology continues to evolve and how to identify a practical starting point.

Despite significant progress in digitizing Canada’s health-care system, most physicians still work in data silos because of ongoing challenges with digital health interoperability and connected care.

Clinicians often cannot access all the health information they need to provide optimal patient care. This gap can create patient safety risks and increase the administrative burden on physicians. Multiple provincial, territorial and national studies have highlighted these challenges.

As Canada moves toward digital health interoperability legislation through Bill S-5, what will family physicians and other community-based clinicians need to thrive? Tools such as AI scribes show considerable promise, as demonstrated by Canada Health Infoway’s national AI Scribe investment program. However, solving interoperability challenges will require more than AI-powered tools. The barriers are not solely technological.

The CMA, CFPC, RCPSC and Canada Health Infoway established a physician-led task force to identify the conditions needed for clinicians to work to their full potential in a digitally connected health-care environment. This session will explore the potential of current and emerging AI-powered tools and examine the changes needed to help physicians and other clinicians succeed in an interoperable health-care system. Participants will also have an opportunity to share their perspectives on the future of connected care in Canada.
